PRIMULA Project Manager
The IMDEA Software Institute is seeking a Project Manager for the PRIMULA
Project to handle the administrative and operational processes associated with
the project, including personnel-related matters, financial support, and
coordination activities.
The selected candidate will be responsible for ensuring that project-related
processes are managed efficiently and in compliance with applicable regulations
and internal policies. The position also involves coordination with research,
administration, and management teams in support of the project.
Tasks
The tasks to be carried out will include, among others:
- Supporting recruitment and hiring processes for personnel assigned to the
project.
- Checking eligibility of candidates for project-related positions.
- Handling immigration procedures for international staff, including visa and
residence processes, and ensuring compliance throughout their stay.
- Managing travel arrangements, reimbursements, and related administrative
processes.
- Providing financial support in the implementation and follow-up of the
project.
- Coordinating the administrative aspects of the project.
- Supporting internal and external financial audits related to the project.
- Preparing administrative records related to the project.
- Providing information to project members on applicable procedures and
policies related to the project and the Institute.
- Supporting the organization of meetings, training activities, and
project-related events.
- Monitoring student enrollment processes (PhD, MSc, BSc) linked to the
project.
- Providing general administrative support.
Requirements
Candidates should meet the following requirements:
- At least 10 years of proven experience in a human resources or support role
in a research organization.
- Extensive experience handling Spanish immigration procedures for researchers
and international staff.
- Experience in project administration and financial support tasks.
- Experience managing travel arrangements and reimbursement processes.
- Strong organizational skills and ability to coordinate multiple
administrative processes.
- Ability to meet deadlines.
- Ability to work both independently and as part of a team.
- Excellent communication and interpersonal skills.
- Bilingual proficiency in Spanish and English (minimum C1 level).
Desirable qualifications
- Experience with HRS4R policies or similar frameworks.
- Training and experience in areas such as personnel administration,
international mobility, or compliance-related processes.
- Experience in financial audits.
- Experience organizing research-related events.
Starting date
The starting date will be as soon as possible once the selection process has been completed.
